SwimWell terms and conditions

Find out about payments, missed lessons, withdrawing from courses and other SwimWell terms and conditions.

Spectators/Parents/Guardians

• Children under eight who are swimming or attending swimming lessons must be actively supervised by a caregiver 16 years or over at no extra charge. Active supervision means watching your child at all times and being able to provide immediate assistance should it be required. Additional children or adults who intend to conduct self-focussed activities such as lane swimming are required to pay normal pool charges.

• Children under 3 must wear a waterproof nappy. This helps us make sure pools are kept safe and clean and reduces pool closures for all.

• There is no charge for spectators.

Payment

SwimWell lesson fees are set by Wellington City Council from time to time. You acknowledge the Council may increase the fees payable provided that you have been given 60 days’ written notice of the increase.

Term based continuous lessons: When enrolling, payment is required by completing a direct debit form using a bank account or credit or debit card. Direct debit payments are processed fortnightly on a Monday by Ezidebit. Once you or your child are enrolled, the lesson fees will be continuously processed by fortnightly direct debit, except for school holidays, until you request to withdraw you or your child from lessons by emailing Swimwell.

School holiday lessons: Full payment must be made at time of booking

Failed payments: Full payment for lessons must be paid in full within 10 days. If missed payment exceeds 10 days you or your child/children will be withdrawn from lessons.

Where payment is not made, the Customer agrees to pay the Council all costs and expenses (including debt collection fees or legal fees), incurred by the Council in seeking to recover the overdue amount.

Withdrawing from a course

If you want to withdraw from a course, email swimwell@wcc.govt.nz. Please give us 7 days’ notice before your next direct debit payment. We will cancel your place in the course and your direct debit.

Only withdrawals requested and received in writing by SwimWell will be processed. You will be liable for any lesson fees incurred when withdrawal from lessons is not received.

Non-attendance of classes for three months (excluding school holiday periods) may result in your enrolment being withdrawn from the SwimWell programme. A notice of at least two weeks will be given by SwimWell prior to withdrawal.

Missed lessons and credits

If a lesson is missed, you cannot make up the lesson at another time.

Term based continuous lessons

Credits will only be given for term based continuous lessons when:

• SwimWell cancels your lesson for any reason

• a medical certificate is provided for days missed due to illness.

The credit will be applied to your SwimWell account and used for future direct debit payments.

School holiday lessons

Credits for missed school holiday lessons will only be given when SwimWell has cancelled your lesson.

Refunds

Refunds are only given if:

• you’re moving out of the Wellington region

• you or your child are not returning to lessons within 3 months

• Wellington City Council deems it appropriate to refund the credit at Managers discretion.

To request a refund email swimwell@wcc.govt.nz. A bank supplied proof of bank account may be requested whereby a refund cannot be processed at a WCC swimming pool in accordance with WCC refund policies.

Access tags

Your access tag gives you access for your lessons and the cost of pool admission is included in the price. If lost, new tags can be collected from the pool reception.

Free swims for children

All children enrolled in SwimWell term based continuous lessons can swim at any Wellington City Council pool for free at any time – children must use access tag for entry. Normal pool entry fees apply for attending swim clubs, events and aquatic sports. 

Dress code

• Shorts and t-shirts are not to be worn as togs when attending SwimWell lessons.

• Long hair is expected to be tied up or a swim cap worn. SwimWell swim caps are available to everyone attending lessons – requested through the SwimWell team.

• All children who are under three and those over the age of three who are not toilet trained must wear an aqua nappy while in the pool (regular nappies are not to be worn). SwimWell provides a free reusable aqua nappy to all children in Infant term lessons.

Medical information

You are asked to notify the SwimWell team if there are any medical conditions or disabilities to be aware of before starting lessons. This is so we can provide the appropriate tuition, assistance and support.

Council policies

By enrolling in SwimWell you are agreeing to abide by any rules and policies of SwimWell, the swimming pool and Wellington City Council.

Promotion and social media

By enrolling into SwimWell you or your child may be used to help promote the swim school via video, social media and through our websites. If you do not want you or your child to appear in any promotional photographs and material, please let our staff and your swimming instructor know.

Privacy statement

Personal information collected about you will be used for the administration of SwimWell only. All information will be held by SwimWell and Wellington City Council. You have the right under the Privacy Act 1993 to obtain access to and request correction of any personal information held by SwimWell. For further information, see our privacy statement.

Legally binding Agreement

I understand that this Agreement is legally binding when enrolling in SwimWell lessons.

Changes to this Agreement

SwimWell reserves the right to make changes to this Agreement from time to time. Where SwimWell reasonably believes such a change will materially negatively detriment your rights under this Agreement (unless the change is required by law), we will offer you the right to cancel this Agreement.
